To register for a course, complete an enrolment form or contact BT Office on 03127 831299. We request personal information including, name, email, company name and phone number which is essential for us to process your request. We may also request supplementary information in order t understand more about you (these fields will be optional). If you contact us, we may also keep a record of the correspondence.

If you provide us with personal data about a third party, you warrant that you have obtained the express consent from the third party for the disclosure and use of their personal data.

 

Type and Use of Information:

The personal data that we may collect from you includes: your name, gender, date of birth, address, email address, phone numbers, employer and health status. We also retain records of your queries and correspondence, in the event you contact us. We do not store any payment information such as bank account details or credit card numbers.

In some circumstances we may be provided with sensitive data, such as information on your physical or mental health to enable us to administer request for reasonable adjustment or conduct investigations, complaints or appeals.

We merely process such data on our behalf in relation to your learning, assessment and certification.

We may use personal data where this is necessary to pursue our legitimate interest as a provider of training, assessment and certification services, including to:

  • Process your enquires and provide you with services
  • Help us identify you and any projects we are working on or have completed for you
  • Provide products/services which you have registered or been registered for
  • Undertake administration in relation to products and /or services which you have been registered for
  • Administer accounts, process payments and keep track of billing and payments
  • Provide you with a certificate or other record of learning
  • Contact you directly in relation to our Quality Assurance processes, investigations, appeals and complaints
  • Assess and provide reasonable adjustments in relation to your learning or assessment, where requested
  • Enable us to review, develop and improve our services
  • Provide customer care, including responding to your requests if you contact us with a query
  • Detect fraud and to make sure what you have told us is correct
  • Carry out marketing and statistical analysis
  • Provide you with information about products or services that you request from us or which we feel my interest you based upon the work we have completed for you
  • To inform you of service and price changes

Due to the nature of the services we offer and the relationship that we have with our customers, we will assume that you are still a customer until you tell us that you no longer wish to be considered as a customer

 

Information disclosure:

At times, we may disclose personal information to persons in our Company. This can include employees and agents involved in our business, if applicable. Pease note that our suppliers ‘use of your personal data is subject to a contract.

We will not share any information with any third party outside our Company unless:

Data Retention:

We will retain your personal data for the duration of the period you are a customer or BVT to enable us to provide information about your learning or replacement certificate.

Awarding bodies, City and Guilds and Lantra require us to retain learner records for a minimum of three years from the final date of training or assessment.

Certain information might be kept for up to 40 years for the purpose of Health and Safety Management.

We will retain personal data relating to our quality assurance process, appeals or investigations for a maximum period of seven years to ensure that we are able to comply with a contractual, legal, audit and other regulatory requirements, or any competent   courts or authorities.

Due to the nature of the services we offer and the relationship that we have with our customers, we will assume that your are still a customer until you tell us that you no longer want to be considered as a customer.

If you let us know that you are no longer a customer, we will delete all unnecessary electronic data and destroy all unnecessary hard copy data that we hold.

We shall retain any project data that is required to safeguard our legal liability following the completion of any project.

We will retain data from enquiries and correspondence with you for future correspondence.

Who has access to your data?:

For the avoidance of doubt, we do not, and never shall, sell your personal data to third parties for marketing or advertising purposes.

We may share your personal data with relevant third parties in relation to your learning, assessment or certification, including: Awarding Bodies (e.g. City and Guilds and Lantra), Funding Agencies (e.g. ELCAS), and authorised representatives of BVT.

We may pass your personal data to third parties for the provision of services on our behalf, but will only ever share information about you that is necessary to provide the service. For example, if we need to use a provider of specialist equipment or services as part of the work that we are undertaking for you.

We may share your information if we are acquired by a third part and, therefore, your data will be deemed an asset or the business. In these circumstances, we may disclose your personal data to the prospective buyer of our business, subject to both parties entering into appropriate confidential undertakings.

We may share your personal data if we are under a duty to disclose data in order to comply with any legal obligation or to protect the rights, property or safety or BVT, our customers or others. This includes, but is not limited to exchanging information with our companies, and organisations for the purposes of fraud protection, credit risk reduction and dispute policies. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.

Children:
